BaseLinker + PrestaShop: how to bring everything into one panel

BaseLinker — now operating under the name Base (base.com) — is a panel that brings together in one place the orders from several sales channels (your own store, Allegro, other marketplaces), stock levels, courier labels and invoices. Connecting it to PrestaShop lets you handle all orders from one panel, instead of switching between several systems.

What such an integration does

  • Orders from the PrestaShop store arrive in the Base panel together with orders from other channels, and tracking numbers and statuses go back to the store.
  • Stock levels and prices are synchronised between the store and the other channels, so a product sold on Allegro (a Polish marketplace) disappears from the store too — with a delay that depends on the settings.
  • You generate courier labels from one place, regardless of where the order came from.
  • Invoices can be issued automatically, for example when the order status changes to “paid” — through the invoice module in the panel or a connected invoicing program.

The store connects to the panel through a module available in the PrestaShop add-ons catalogue or through an integration file uploaded to the store’s server.

When such an integration pays off

The more sales channels and the more orders a day, the more such a connection pays off. With one channel and a few orders a day, handling things by hand can still be simpler than the set-up and the subscription. The break-even point depends on the number of channels and on how much time it takes today to retype data between systems — it is worth simply measuring that for a week.

What to check before integrating

  • Whether the module works with your version of PrestaShop — especially after an upgrade to PrestaShop 9. It is safest to test the connection on a copy of the store.
  • How often the stock levels in offers on other channels should update. The panel lets you choose the interval (from a few minutes to a few hours); the longer it is, the longer the window in which you can sell something that is no longer there.
  • How many sales channels you want to connect at once, and how many in the future — it affects how it is configured.
  • Whether your chosen way of issuing invoices is connected to Poland’s National e-Invoicing System (KSeF).

Two common traps during set-up

Two places where someone changes stock. Base can work on the store’s inventory (products and stock levels are read from PrestaShop) or on its own catalogue in the panel. You have to choose one main source and stick to it. If someone corrects the stock by hand in the PrestaShop panel and the synchronisation overwrites it with data from Base (or the other way round), stock levels “jump” and nobody knows why.

Products without a unique code. The integration links products across channels by an identifier — usually the SKU (product code) or the EAN code. If some products or variants have no SKU, or the same SKU appears twice, orders get assigned to the wrong items. Before connecting anything, export the list of products with variants and check in a spreadsheet that every SKU is filled in and unique. It takes a quarter of an hour and saves many hours of correcting orders.

In short: BaseLinker (Base) with PrestaShop is one panel for orders, stock, couriers and invoices. It pays off more the more sales channels you have — provided you have a single source of stock levels and order in your product codes.
